New Global Dashboard for 1:1 Meetings

We are excited to announce the implementation of a new global dashboard in Eventtia's 'Networking module'.

This synchronized global panel is designed to present the status of 1:1 meetings, helping you quickly identify available time slots. ?️

For easy identification, available slots appear in green, and unavailable ones in red.

Additionally, you can manage filters by name, participant type, and date, further simplifying the organization of your events. ?

This feature is located in the section: Business Meetings > Global Dashboard.

Moreover, the admin user has the ability to book 1:1 meetings for any attendee, directly from this new panel.

New Feature for In-Person Events: Your Attendees Can Take Notes During Meetings

A new ‘Notes module' for on-site meetings is now available.

Your participants can now take and save notes directly from the participant’s card with whom they have an appointment.

Guest Communications: New Tag to Add a Cancellation Button

We are pleased to announce a new enhancement in our communications module: You can now include a cancellation button in the messages you send to your guests.

Previously, it was only possible to add a link, but with this new tag, the process is more intuitive and convenient.

It's very simple: when configuring your mass message for guests, you will find the cancellation button tag at the end of the page in the section: Modules > Resgistration > Communications > Mass Emails > Guest Recipient > Cancellation Button Tag.

Improvement in Checkpoints Report Format

Enhanced Functionality for Multiple Selection Fields

As part of our ongoing commitment to enhancing user experience, we have implemented a significant improvement to the multiple-selection fields.

Now, not only can attendees choose from various options, but we've introduced the flexibility to set a minimum and maximum number of selections. This feature empowers you to tailor the selection process precisely to your events' requirements.

Here's how it works: When enabled, the field allows you to specify the minimum and maximum number of options attendees can choose. Each option can be assigned a corresponding value, adding a layer of customization to better suit your event dynamics.

The system is now equipped to validate the selections made by attendees. If the provided values fall outside the configured criteria of minimum and maximum, the field will trigger a validation error, ensuring accuracy and adherence to your event guidelines.

You can manage this functionality from the administration area / Back office, under the participant type > registration form > new field > multiple selection type > Min. Sel. Options or Max. Sel. Options.

User Access Policy Manual

The new User Access Policies feature provides organizers with the flexibility to define different roles, offering two types of access: Event Organizers, who have full access to Eventtia and the Eventtia Check-in app, and On-site Users, with access to the Eventtia Check-in app without the need to create a password.

Depending on the assigned role, this feature also allows for access policies based on specific dates or a temporal duration in days to limit user activity.

Participant's Custom Field Preview in the Check-in App

We are thrilled to introduce an evolution on Eventtia's Check-in App.

? Download the App by typing 'Eventtia' on the App Store or Play Store.

Now, when validating the QR code at the event, you can configure additional form fields so that during check-in, you can view more detailed information about attendees.

Head to the back office and explore this exciting new feature.

1. Enter the registration module, in the types section

2. Go to the "Registration Form" tab, then click on the green "New" button.

3. Create a custom field and select the following options: "Available in public listings" and "Information displayed when checking QR code."

New report for checkpoints at events

This new functionality to download checkpoint reports brings advanced capabilities to event management. This feature offers a consolidated view of both entry and exit activity at checkpoints, providing a comprehensive insight into participant interactions. Organizers can now access and export a detailed report that provides insights into attendee engagement and the overall flow of the event. This consolidated report not only simplifies data analysis but also aids in strategic decision-making, ensuring a more comprehensive understanding of attendee participation. With this consolidated event reporting functionality, event planners can effectively assess attendee involvement, track attendance patterns, and make informed adjustments to enhance future events.

You can access this from the reports module in the back office, under the registration section, and the checkpoints option. There, you can select a start and end date to determine the filtering time frame, as well as specific or general checkpoints you wish to review. Afterward, you can export the data to Excel for analysis.

New option to configure start and end dates in registration forms

This innovative feature ensures that attendees have a specific period during which they must register, and if they don't do so within that timeframe, they won't be able to register after it expires. This enhancement provides greater control over the registration process, allowing event organizers to more efficiently manage attendance and planning. By clearly outlining start and end dates, greater accountability is encouraged among participants to complete their registrations on time. Ultimately, this functionality contributes to a more structured registration experience and better event organization, ensuring that participants are properly enrolled within the established deadlines.

To access this function, navigate to the advanced options area of the event in the back office (Connect). Once there, go to the settings tab, where you'll find the addition of two new prominent fields: "Registration Start Date" and "Registration End Date."

New functionality to enable or disable registration with Captcha security

This new functionality will allow you to enable or disable the verification method to protect yourself from spam registrations. This method involves completing a simple test at the time of registration to prove that you're a human and not a computer attempting to gain access. The Captcha test, for your understanding, requires you to select the elements described in the image (traffic lights, cars, etc.), which you need to choose to confirm that you're not a computer.

To carry out the process, you need to log in to Eventtia using your access credentials. In the registration module, under the "Advanced Settings" option, you will find the specific field to activate or disable it.

Google Analytics 4 Configuration

Dear customers,

We would like to inform you that starting from July 1st, the previous version of Google Analytics will no longer be available. Instead, Google Analytics 4, an enhanced and advanced version, has been launched. We strongly encourage you to migrate to this new version to take advantage of its improved features.

New filter to search for checkpoints in the Check-in app

Now the Check-in app allows you to search your event checkpoints through filters, making it a fast and practical way to validate keywords or look for a specific checkpoint. We have also added the possibility of returning to the previous search (without losing this last filter) so that users can return to the visualization of this and continue validating their selection.

New permission to view the list of participants in the virtual stage or mobile app

We have added a new permission to the Participants & Networking module. Now all your participants will be able to see the whole list of participants at the event whether they can chat or schedule meetings with them or not. If you wanna activate this view go to the Virtual Event settings, the modules tab, inside the Participants & Networking module and activate the “Visualize all participants” option.

Functionality to enable the use of capital letters in the texts of the virtual stage

Now [1]we are giving you the possibility to select whether or not you want Eventtia to leave the texts on the Virtual Stage as you entered them in the Back Office or if you want us to help you standardizing the first letter as capital and the rest in lower case. If you wanna activate this option go to the Virtual Stage Settings and on the General Settings tab select “Allow the use of capital letters”

New permission and report for downloading participant-specific information.

For a more specific management and organization of participants’ report, we have enabled and made available to users, new permission that can be managed through the roles, for the view of the participants' report.

From the report’s module, in the registration section, we have enabled a new option for the administrator users to specify which fields of the registration form of each type of participant should be included or not in this report.

ubsequently, the option to export the report to Excel will be enabled, with the default fields selected in the previous configuration. Please note that custom field information will not be visible in the interface criteria, as these vary for all participant types.

When exporting the information, we will obtain a sheet for each type of participant in the Excel file, that is, the file will have "N sheets" according to the number of types of participants that the event has.

Guest module functionalities

In response to the new needs and the scope of our guest module, we have prepared the following features: 

Now the guests will be able to reject the invitation sent, for this, we’ve created a new tag with the link to cancel the invite and enabled the option to configure the message that the guest will receive after completion 

Within the guests' module, there will be the option to filter by the guests who canceled their invitations. For mass communications, there will also be the option to exclude or include the withdrawn participants, depending on the purpose of the communication.

Functionality to uncheck an attendee from a workshop

Now you will be able to cancel the registration for a specific attendee to your workshops. When you are editing your user’s role permission you can select whether or not they can uncheck an attendee’s registration to a workshop from the back office.

Within the workshop reports, the following information was added: Paid reserved seats and Free capacity, which will allow the organizer to know a more detailed status for the activities, on the same report.

New feature to cancel participation on an event

Now the event organizer will have the option to include inside the message settings a new tag “${unregister_button}.” This option will allow participants to be able to cancel their event attendance after finishing their registration. You can add this tag inside any of your communications to your participants.

You also have the option to set up a “Cancellation Email” this email will be sent to the participants when they cancel their registration. You will be able to set this email up on the “Messages” tab inside the set up of “ Attendee type”

Recover deleted participants

We have a new option for you while managing your participants. Now if you eliminated a participant by mistake you will have the option to recover the registration. Just go to the “Deleted” participants click on the three dots on the participant’s profile and click on “Recover registration”.

Important note: The participant’s information will be restored, however If the participant was registered to certain activities this will not be restored so they would need to be registered again, the same happens with the networking meetings. 

You will find this option going to the Registration module > Attendees > Deleted > three dots > Recover registration.
